Job description

The role is part-time for 20 hours per week, (5 mornings a week) to provide everyday office support and, when experienced, supporting the work of the director. The Coordinator’s role is to ensure progress on a variety of projects, at times, in the absence of the Director whilst also giving appropriate support to enable the general running of the office.

Aspects of the office work are:
• Progressing work by liaising with clients and suppliers - communicating effectively and adhering to strict deadlines
• Maintaining project and contact records using an Access database
• The distribution of press releases – both electronically and by post and according to schedule
• Monitoring scientific magazines and journals for client press coverage
• Obtaining quotes, producing estimates, and raising purchase orders -requiring a high degree of attention to detail
• The compilation of various reports using Excel and Word
• Dealing with post, email and telephone calls appropriately
• Assisting with updating the website.
• Researching information on the internet (eg. for promotional products and ideas)

The job is varied and interesting and the post-holder should be willing to be trained in any areas that are necessary to progress the work of the Company. Additional hours could be available from time-to-time. The post-holder’s duties may be varied at the discretion of the Director.

Skills and experience

• Marketing experience or qualification would be an advantage.

Remuneration
Salary in the range £16,500 - £18,500 (pro rata) depending on skills and experience.

Leave: 28 days (pro rata) including statutory holidays plus periods of office closure at Christmas and New Year.

Pension: the employee may choose to make contributions to a stakeholder pension scheme.

Scientific institute require a group secretary to work part time on an ongoing basis. HOurs can be organised to suit to some degree although the current post holder works 3 days per week.

Duties; Carry out planned maintenance and installation tasks, report faults problems, verbally and in writing and provide professional advice to the head of maintenance.
